  • This policy is applicable to all personal data provided by users (Hosts of rental properties, guests staying at a rental property). The term “You” is used to describe all users whose personal data we have or process.

Personal information collected
  • We will collect the following personal information from you:

    • Personal information required to register within our web site including first and last name, your address and date of birth together with some basic security information

    • If you are a Property owner, information about your property and contact and personal information we need in order to assist with and manage bookings on your behalf

    • Details of any bookings you make or receive through the web site and booking platform including information for a booking request and a booking confirmation

    • Your email address and login password to our booking platform

    • Service Fee billing information such as your credit card number and expiry date from the guests in order to pay the Service Fee

    • A record and details of any communication between you, the property owner and us or relating to any review, feedback or complaint submitted to us or the property owner.

    • Information we may hold for marketing purposes such as email addresses.

    • Other technical information you generate as a result of site interactions including statistics about your visits to the web site, the resources and pages you access and any searches you make

  • In collecting information we take into account the following principles.

    • Confidentiality and security: We will ensure reasonable technical and organizational measures are in place to protect your personal data against alteration or accidental or unlawful loss, or unauthorized use, disclosure or access.

    • Sharing and international transfer: We may share your personal data within the Charities and between Hosts and guests or with third parties (such as commercial partners and/or service providers) for the purposes set out in this Policy. We will take appropriate measures to guarantee security when sharing or transferring such data.

    • Storage: We will hold your personal data for the period necessary for processing the same in compliance with the provisions of the law.

    • Access, rectification, opposition: You may access, modify, correct or delete your personal data. You may also oppose the use of your personal data, particularly to avoid receiving sales and marketing information. This is done by sending an email to hello@bookfortheplanet.com

    • Transparency: When collecting and processing your personal data, we will communicate all information to you and inform you of the purpose and recipients of the data.

    • We also use your contact information to ask you for your opinion and review at the end of your stay at the facility. If you give us permission to do so, we will publish your review.

    • We carry out this process in order tolearn more about your satisfaction with our service, make certain changes for the future and for marketing purposes if you give us your consent.

    • We use this information to process your reservation request,  to confirm the booking by paying the Service Fee and to allow you to stay in the selected facility.

    • So that we can provide you with the service you are looking for.

    • Contract performance and legal obligation of BFP.

  • Payment data
    • How we use your information?
    • We will also use your personal data for the purpose of processing the payment of the amount of the Service Fee you are obliged to pay for your stay in the selected facility. Sometimes, you will be entitled to a refund, so we will use this personal information for these purposes as well.

    • The purpose of this process is the mutual fulfilment of obligations from the lease agreement that we have concluded with you.

Transfer of your personal data

Depending on the type of your interaction with BFP, we will share certain personal information with third parties. We guarantee that the purpose of the exchange is not the use of your personal data, but we exchange them for the purpose of providing quality and timely service and compliance with legal and regulatory obligations.

Consequently, BFP will be able to provide certain personal data to the following entities, depending on the situation, or the data will be available to them due to the nature of the process:

  • the Property Owner of the accomodation you have chosen so that you can be provided with an accommodationservice;

  • Third party service providers that process personal data either on behalf of BFP or on a separate legal basis, all in order to effectively fulfil the requested service(for example processing your booking and payment, processing your reviews and advertising). Such service providers may use personal data only to the extent and for the purpose of orders received from BFP or according to rules they have set themselves as heads of personal data processing (for example Facebook, Instagram, Tik Tok). In any case, the BFP makes the privacy and protection of the personal data it processes a priority and, in particular, makes the decision to select a partner carefully and applying a high standard of professional care;

  • To third parties and public bodies, (i) to comply with laws or regulations, (ii) to comply with a mandatory instruction or order of a public body, (iii) to prevent and / or report abusive and illegal activities, (iv) to protect the rights and personal safety of our employees; or (v) if required by lawsuits and other legal requirements;

  • To all other persons in respect of whom we have received your express consent for personal data exchange.

Your data and third countries

Your personal data will generally be processed and transmitted exclusively within the territory of the European Union or the European Economic Area.

Personal data will only be exceptionally transferred to other persons in countries outside the European Union (for example if the owner of the facility in which you reside is a citizen of such country or lives / resides there). In such cases, we take special care of your personal data and always do everything in our power to prevent any breaches.

For how long do we store your data?

The retention period of your personal data will primarily depend on the purpose for which it was collected. In this regard, we guarantee that we will not keep your data longer than is strictly necessary to carry out the purpose for which it was collected.

Exceptionally, in certain cases we may have a legal obligation to keep certain data for a longer period than is necessary to achieve the purpose of processing. In this case, we will store personal data only within the statutory minimum.

Children

BFP is fully aware that children are a particularly vulnerable group and therefore pays special attention to the protection of their personal data.

BFP services are not intended for users under 18 years of age. However, in some cases, for the purpose of booking a stay in the facility, it is necessary to collect and use data of children who will stay with their parents, legal representatives or guardians in the selected facility. We will only process this information if it is provided by or with the consent of a parent, legal representative or guardian. If we learn that we are processing data about a user under the age of 18 without the valid consent of a parent or guardian, we will delete that data immediately.

Your rights

To effectively control the processing of your personal data, you have a large number of rights that, in cases prescribed by law, you can exercise directly under the BFP.

  • The right to request information on whether the BFP processes your data and, if so, to request detailed information on the processing itself;

  • The right to request access to your personal data, in a way that the BFP makes a copy of it, in physical or digital form;

  • The right to request the correction of your incorrectly or incompletely stated personal data in our possession;

  • The right to request that we delete your personal data in our possession;

  • The right to request that we restrict the processing of your personal data;

  • The right to object to the processing of your personal data by BFP

  • The right to withdraw consent to the processing of your personal data at any time, if the processing is based on consent;

  • The right to file a complaint to the supervisory body in Germany.
